    Spending smartly on business trips without cutting corners

    With major business events like Africa Tech Week in June and the upcoming G20 Summit in November, South Africa is set to welcome a surge in corporate travel. But with airfares climbing and budgets under pressure, many companies are asking how they can still send their teams out without burning through cash. The good news is that smart travel planning means you can do more, spend less and avoid compromising on comfort, safety or professionalism.

    Here’s how your business can travel better, and spend smarter.

    1. Think beyond the big names
      Boutique hotels and independent airlines are often overlooked, but they can offer exceptional value, more flexibility and a personal touch that global brands just don’t deliver. It’s all about knowing where to look, and when to book.
    2. Book smarter, not later
      Late bookings will punish your budget. Planning efficiently and using the right travel tools can cut spend significantly. I’ve seen clients shave thousands off their quarterly costs simply by consolidating bookings, using regional hubs and planning smarter itineraries.
    3. Combine meetings, reduce trips
      A major red flag to look out for is if you or others in the company are flying out three or more times in a quarter. Combining multiple meetings into a single trip, or using strategic layovers and regional routes, not only saves on flights but also on fatigue.
    4. Negotiate, don’t just accept
      Many hotels, guesthouses and boutique lodges are open to negotiation, particularly in the quieter months. Think “stay three, pay two”, free airport transfers or opting for bookings with inclusive meals. These are wins most companies miss simply because they don’t ask or don’t have a travel partner who knows what to ask for.
    5. Time your trips strategically
      Peak seasons like December, school holidays and Easter come with inflated rates and overcrowding. Savvy MICE planners are increasingly targeting February, May and September for cost-effective events and travel. The difference in rates can be substantial.
    6. Work with people who know the lay of the land
      Having a local, experienced travel agency on your side offers both convenience and cost efficiency. An experienced travel consultant with a vast network of supppliers and industry relationships can help clients avoid costly surprises, negotiate better rates and unlock hidden value they may not have benefitted from or even known to look out for.
    7. Make loyalty work for you
      Loyalty programmes like Discovery Vitality Travel and SLOW Lounge access via FNB/RMB are small perks that add up fast. From free seat selections to better baggage allowances and airport access, these programmes help to stretch every rand.

    Cost-effective business travel isn’t about cutting corners but about making smarter choices. It also helps to have a team that knows how to unlock value without compromising your standards.
